How to Connect SAP SuccessFactors Employee Central

Summary

The SAP SuccessFactors Employee Central connector links Employee Central to KnowledgeCity so that employee records become the source of truth for your KnowledgeCity users. Once connected, it imports employees from Employee Central and keeps KnowledgeCity accounts in sync by adding, updating, reactivating, and deactivating users based on their status. This removes manual roster maintenance and keeps your learner list aligned with your HR system of record.

Introduction

The SAP SuccessFactors Employee Central connector is one of the HR and HCM connectors available in Integrations. It is a distinct variant of the SAP SuccessFactors connector, focused specifically on the Employee Central API for reading employee data and provisioning users, rather than on the content-provider flows used by the core SuccessFactors connector.

It is set up and managed by an LMS Administrator who has the Employee Central connection details on hand, usually working with a SuccessFactors administrator who supplies the credentials. The connector solves a common problem for organizations that standardize on Employee Central: instead of maintaining users in two places, you connect the two systems once and let employee data flow into KnowledgeCity so enrollments and reporting stay accurate.

Key Concepts

  • Employee Central as source of truth: SuccessFactors Employee Central drives user provisioning, so accounts in KnowledgeCity reflect employee status in Employee Central.
  • User import: the master switch that activates synchronization of employee records from Employee Central into KnowledgeCity.
  • Sync actions: the set of options that decide what each sync does, including adding new users, updating existing ones, reactivating returning employees, and deactivating users who become inactive.
  • Connection settings: the Employee Central connection details, including the API host or URL, the Company ID, and the authentication credential, together with the KnowledgeCity API details.
  • User filter and username mapping: rules that limit which employees are imported and choose which Employee Central attribute maps to the KnowledgeCity username, with an optional prefix to avoid collisions.
  • Auto license: an option to automatically assign a chosen subscription to newly imported users, or to leave licensing to be handled manually.
  • Scheduler: where available, the schedule that runs the import automatically, following the LMS local time zone.

Steps to Follow

Confirm prerequisites

Before you begin, make sure you have the access and details required for the connection:

  • You have Administrator access in the KnowledgeCity LMS to enable and configure the connector.
  • You have obtained the Employee Central connection details from your SuccessFactors administrator, including the authentication credential, the API host or URL, and the Company ID.
  • You have a valid KnowledgeCity API secret, created in the LMS or provided by a KnowledgeCity administrator.
  • The attribute you plan to use as the KnowledgeCity username (for example, email or an employee identifier) exists consistently in Employee Central.

Enable the Employee Central connector

Sign in as an Administrator and open the Integrations page. Locate the SAP SuccessFactors Employee Central connector in the list of platforms and enable it to open its configuration.

Configure the connection settings

Enter the connection details provided by your SuccessFactors administrator. These identify your Employee Central instance and authorize the connection, and they typically include:

  • The Employee Central authentication credential used to authenticate the connection.
  • The Employee Central API host / URL.
  • The Company ID.
  • The KnowledgeCity API secret and API URL.

Save your changes once the details are entered.

Configure user import

Turn on User Import so Employee Central becomes the source of truth for users, then choose how KnowledgeCity should react to employee status in Employee Central. Available sync actions generally include:

  • Add users: create new accounts in KnowledgeCity when employees exist in Employee Central but not yet in KnowledgeCity.
  • Update users: update existing user attributes while the employee is active in both systems.
  • Reactivate users: reactivate accounts when employees become active again in Employee Central.
  • Deactivate inactive users: deactivate KnowledgeCity accounts when employees are inactive in Employee Central.
  • Remove license for inactive users: optionally release licenses from users who are inactive in Employee Central.

You can refine import behavior with a user filter that limits which employees are imported, a username field that maps an Employee Central attribute to the KnowledgeCity username, and an optional username prefix.

Set up automatic license assignment

Under the license settings, use the subscription option to automatically assign a subscription to newly imported users, or select None to assign licenses manually. This lets new employees receive access as soon as they are imported.

Configure the scheduler

If your portal supports it, set up the Scheduler so the import runs automatically instead of on demand. Scheduled tasks follow the LMS local time zone, so align the schedule with your internal data-update cadence and reporting needs. Save your configuration to activate the connector.

Conclusion

Once configured, the SAP SuccessFactors Employee Central connector keeps your KnowledgeCity users aligned with Employee Central automatically, provisioning new hires, updating active employees, and deactivating those who leave. Enable only the sync actions that match your policy, and let Employee Central remain your system of record while KnowledgeCity delivers the training.
