Summary
When a campaign uses an Individualized training plan, KC Skills builds a tailored set of courses for each participant from their own skill gaps. The Individualized Plan tab on the campaign is where you review those plans and either Approve or Deny them before the courses reach learners.
Introduction
An individualized campaign does not give everyone the same learning path. After the assessment closes, KC Skills reads each participant's skill gaps and assembles a course list that targets those specific gaps.
If the campaign was set to require approval, nothing is assigned until an administrator signs it off. The Individualized Plan tab is that review queue. It is for the administrators and program owners who own the campaign and are accountable for what gets assigned to their people.
Key Concepts
- Individualized plan: A per-participant course list generated from that person's own skill gaps, rather than one shared learning path.
- Skill gaps: The skills where a participant scored below the target proficiency. These drive which courses the plan suggests.
- Pending: A generated plan waiting for your decision.
- Approved: A plan you accepted. The courses are assigned to that learner.
- Denied: A plan you rejected. Its courses are not assigned.
- Skipped: A participant who needed no plan, usually because they met every target or achieved a perfect score in a campaign set to skip training for perfect scores.
- Auto-approve: A setting that accepts every generated plan without review, for programs that do not need a manual gate.
Steps to Follow
Accessing the Individualized Plan tab
Open Campaigns in the left sidebar, select the campaign you want, then open its Individualized Plan tab. The tab appears only when the campaign's training plan is set to Individualized. Its subtitle reads Review and approve AI-tailored training paths for each learner.
Step 1: Set the course rules before generating
Select Configure to control what the generator is allowed to pick. The panel offers:
- Count of courses per difficulty level, so a plan is not overloaded.
- Course duration, from under 10 minutes up to three hours and above.
- Creation date, to exclude older material.
- Minimum localization level, when learners need courses in a particular language.
- Main categories, to keep suggestions inside the parts of the catalog you want.
Set these before you generate. Changing them afterward means regenerating the plans.
Note: If the rules are too narrow, KC Skills tells you how many learners had no matching courses. Widen the categories, the duration, or the creation date and generate again.
Step 2: Generate the plans
Select Generate plans to build a plan for every eligible participant. Generation runs in the background and shows progress as it goes, marking each learner generated, skipped, or failed.
Participants who met every target come back as Skipped, which is expected rather than an error.
Step 3: Review each participant's plan
The table lists one row per participant with Participant, Skill gaps, Courses, Status, and Action. The Skill gaps column shows how many skills fell below target, and Courses shows how many courses the plan proposes.
Open a row to see the suggested courses. If one course does not fit, remove it from the plan before you approve.
Step 4: Approve or deny
Use Approve on a row to accept that plan and assign its courses to the learner. Use Deny to reject it, which leaves the learner without an assignment from this plan.
When you are confident in the whole set, Approve all and Deny all apply your decision to every pending row at once. Both ask for confirmation first.
Step 5: Skip the review gate when you do not need it
If your program does not need a manual gate, turn on Auto-approve all plans. Every generated plan is then approved automatically and the queue stays empty.
Note: Auto-approve applies to plans generated from that point on. Plans already sitting at Pending still need a decision.
Step 6: Confirm the courses were assigned
After approval, watch the status column move to Assigned. That is the point at which the courses are live for the learner. A row that shows a failure can be retried from the same table.
Conclusion
The Individualized Plan tab is the control point between a generated plan and a learner's actual assignment. Set the course rules first, generate, review the gaps and proposed courses, then approve or deny. Turn on auto-approve only when you are happy for plans to reach learners without a manual check.
